Remarks

  1. The WhatsApp notification feature is available for all event types. 
  2. The message contentcannot be edited.
  3. The WhatsApp notification feature supports sending automated Confirmation, Reminder (24 hour) and Reminder (1 hour) messages.
  4. This feature is sold as a module on its own. Please let your project manager know if you would like to use the WhatsApp feature. 
  5. The breakout session WhatsApp notification message has been deprecated as of 19/6/2024. 

Benefits of using WhatsApp for auto confirmations and reminders 

  1. High open rates - WhatsApp messages have very high open rates, often 90% or more. This means your confirmations and reminders are highly likely to be seen by the recipients.

  2. Instant notifications - WhatsApp messages trigger instant notifications on the recipient's phone, so they are aware of the message right away. This allows them to take action quickly based on the confirmation or reminder.

  3. Read receipts - WhatsApp has read receipts, so you know if your message has been read by the recipient. This allows you to potentially follow up if a critical confirmation or reminder goes unread. (This feature will be available in the next phase)

  4. Cost-effective - Using WhatsApp for notifications is very cost-effective compared to SMS. WhatsApp messages are free, so it reduces operational costs.

  5. Works on all devices - WhatsApp works on all major mobile platforms as well as desktops. So your messages will reach the recipients regardless of what device they use.

How to enable WhatsApp feature

1. Enable WhatsApp Notification. Before setting up the registration forms, navigate to Event Settings, and you can enable the WhatsApp Notification under the Event Delivering Methods.

You can also fill in the event information such as event banner, event locations (for in-person events), event date and time etc under the same setting page.

2. Create a Registration Form. Navigate to the Registration Form on the left side menu, and set up the registration form(s) for public registration.
 
3. Confirm the event details on the automated templates. As the templates are pre-approved by WhatsApp/Meta, the content cannot be edited. However, the message is personalised with attendee name on each message.

The WhatsApp templates will be different per event format: In-person, Hybrid, and Virtual event. The template for your event can be viewed under the WhatsApp page on the portal as shown in the screenshot below. 

There are 3 templates for each event format:
  • Confirmation after the registration form is submitted
  • 24 Hour Reminder before the event start date
  • 1 Hour Reminder before the event start date

Below is an example of a confirmation message on attendee mobile view. In order to view the Check-in QR Code, simply click on the link attached in the message. 



Supported Importing Methods

Attendees that are imported as invited or registered status will be able to receive the WhatsApp confirmation and reminder messages if the organizer has input the attendee's mobile number correctly.
