Customize Email Templates for the Event

It is necessary to send different types of emails to your target audience when  hosting  an event. In the event portal, email layouts can be edited and a preview is available.

Important Reminder: Please note that the organizer is only allowed to edit the 'Sender name' and Email Subject Line. Sender Email is by default invite@mail.eventx.io or notifications@mail.eventx.io and cannot be changed.

Steps to customize email templates

Step 1: Go to Outreach, click on the "Email" tab

The organizer can modify the following emails:
  •  Invitation Email (Note: The organization manager's invitation email cannot be modified.)
    - Attendee
    - Host/Speaker/Exhibitor/Booth Rep
    - Event manager
  • Confirmation email (Without-tickets)
  • Confirmation email (with tickets)
  • Reminder email (1 hour before)
  • Reminder email (24 hours before)

Note :

  1. Organizers are able to toggle on/off both reminder emails. The reminder emails are toggled OFF by default once the event is created. Please refer to the support article here for more information.

Click Edit Email to make changes, these includes:

Sender name and Email subject line

Content and Layout

The email content uses content layers and content blocks. To add content just drag and drop the items to the right location.

Content Elements

  • Columns- used if you'd like to layout a content beside another content. 
    Add images with image link which can open on the same or new tab.

  • Button- Click actions that are assignable to a button includes: Open Website, Call Phone, Send EmailSend SMS

  • Divider- Use the divider content block to separate between sections of content. The Divider lines can display horizontally between contents in your email.
    Divider thickness, color, line type and alignment are also editable.

  • Heading- Add a title or a caption in your email content. You may edit the following heading content: Heading type, font, font size, color, text alignment, line height

  • HTML- Add HTML code directly into your email. With the HTML code, you can add more design to your email.

  • Image- Add an image to your content. Click actions that are assignable to the image include: Open WebsiteSend EmailCall Phone NumberSend SMS

  • Menu- Use the Menu content element to add a menu to your emails. This can contain links to your website, landing pages, or other online content you want to share. Click actions are also assignable to the menu items, such as: Open Website, Call Phone, Send EmailSend SMS

  • Text- Use Text content block to add text content to your email. 
    Edit the text using the available functions, including font, font size, font type, alignment, height, color, highlight, hyperlink, and merge tags.

Body

This is used to adjust the overall setting of your email

  • Text Color- change the text color of the email content

  • Background color- add color to your email background

  • Content Width- Set the width of your email content as to how thick or thin it would be.

  • Content Alignment- Pick from left-aligned or center-aligned

  • Font family- Use the dropdown to select a font

  • Preheader Text- short summary text that follows the subject line when viewing an email from the inbox.
  • Links- Customize your links by changing the color or toggling on the Underline function.

Once the email template is ready, click on Save and you will see the changes in the preview.

Note:

All double curly braces must be in pairs. Incomplete formats like empty text "{{}}", space in between text, or special characters in double curly braces "{{", "}}" are invalid. The correct format must be text inside a pair of double curly braces: {{xxxxxx}}.

Important Reminder:

The sign-up guide in the invitation emails for special roles (host/speaker/exhibitor/booth representative/event manager) cannot be edited.
