Definition of Event Roles

An event manager cannot: add another team member as event manager of the event
and connect to stripe account and create tickets

Organizer

The event organizer is responsible for creating the event. The organizer has access to all settings there is in EventX portal account. That includes adding a team manager or event manager, creating an event, creating webinar sessions, adding booth, adding booth exhibitors or representatives and Inviting attendees, host/co-host and speakers.

Organization Manager

Adding a team manager can help manage your organization more efficiently. Organizer manager can have access. This feature is available on the Enterprise plan

Team managers will be able to:

  • Access and manage all events under the said Organization
  • Connect a Stripe account
  • Manage all event settings
  • Can upload video in Video library

Event Manager

Event manager is a teammate who is invited to co-manage a specific event with the organizer. They are entitled to:

  • Manage a specific event but not the entire Organization's events
  • Act as the event organizer
  • Manage all event settings
  • Upload video in the video library

An event manager cannot: add another team member as event manager of the event

Host/Co-host

A host/co-host is responsible for starting the rehearsal mode or live webinar session. The host/co-host can do the following during a webinar session:

  • Mute/unmute own mic
  • Turn on/off own video
  • Can share screen, share PDF and Google docs
  • Can pin/unpin speakers
  • Can approve or decline Q&A questions
  • Can create a Poll
  • Can reject or accept a raised hand
  • Can play a video
  • Can execute integrations like Kudo or Kahoot
  • Can enable or disable Raise hand or emoji during the session
  • Can end the webinar session
  • if the host is different from Organizer, they cannot upload video in the video library

Playing a video in a webinar session

Speaker

This is the person given a role to speak in the webinar session. During  the webinar session, a speaker can do the following:

Note: Speakers are not given access to play an uploaded video in the video library.

  • Mute/unmute own mic
  • Turn on/off own video
  • Share screen
  • Share pdf file for viewing
  • Share google docs
  • Send emojis
  • Reply to chat
  • Approve/Decline Q&A questions
  • Create Polls
  • Accept/reject a raised hand
  • Access Kudo/Kahoot integration
  • Cannot play a video from the video library
  • Cannot upload video in the video library

Booth Exhibitor

Booth exhibitors have full access to edit the assigned booth content and to Network during the event. Booth exhibitors can do the following :

  • Chat with attendees in the booth chat and Public chat
  • Can edit booth table details
  • Have access to viewing the Exhibitor dashboard
  • May join the booth tables and connect with members in the booth
  • Edit booth basic information
  • Pick and edit a virtual booth design
  • Add booth content
  • Assign access for additional booth exhibitor or booth representative
  • Add and edit products
  • Have access to viewing the Exhibitor dashboard
  • Can send messages to other booth reps within the booth
  • Can contact live support

Booth Representative

The booth representatives role is to network with attendees visiting an assigned booth. The booth representative can:

  • Can edit booth table details
  • Chat with attendees in the booth chat and Public chat
  • Have access to viewing the Exhibitor dashboard
  • In charge of joining the booth tables and connecting with members in the booth
  • Can send messages to other booth reps within the booth
  • Can contact live support

Attendees

People who registered, were invited and attended your event are all attendees. People given special roles can also be an attendee. Attendees may visit the different tabs in the event, they can also:

  • Join a webinar session, networking session or speed networking.
  • They can chat with other attendees using the global chat or booth chat.
  • Attendees can delete their sent chat
  • Can view Q&A and Poll questions done from different webinar sessions.
  • Can send direct messages to other attendees
  • Can do 1 on 1 call with other attendees
  • Can update their profile
  • Can contact live support
